Notice, October 6, 2026: the Maktab HQ app is offline and no longer stores or processes school records. This website collects no personal information. The text below describes how the app worked while it ran.
Maktab HQ is operated by Vertek Ventures LLC ("we", "us"). Schools use it to run programs, attendance, lessons and family communication. This policy explains what we handle and why. It works with our Terms of Service.
Schools decide, we process
Each school controls the records in its workspace and decides who can see them. We process those records on the school's behalf, only to provide Maktab HQ. We do not sell personal information, show ads or use school records to train AI models. Parents and staff with questions about a school's records should contact the school first; we will help the school respond.
What we collect
- Account details: name and email address for owners, staff and parents, used to sign in with emailed codes and to send invitations.
- School records: what the school enters, such as students' names, programs, attendance, lesson progress, report cards, calendar entries, announcements and guardian contact details.
- Billing: the school's plan and payment status. Card and bank details are entered on Stripe's pages and never reach us.
- Service data: error reports with record contents removed, and pseudonymous usage counts that contain no student data, names, contact details or IP addresses.
Children
Students do not have accounts. Their records are added by their school, which is responsible for any consent it needs from parents or guardians. Parents see only their own linked children, and teachers see only the programs assigned to them. A parent can ask the school to see, correct or delete their child's records.
Service providers
We use these providers to run Maktab HQ. Each receives only what it needs:
- Supabase: database and server functions (United States)
- Clerk: sign-in and accounts
- Cloudflare: hosting and network security
- Stripe: subscription and tuition payments
- Resend: notification and invitation emails
- Sentry: error reports
- PostHog: pseudonymous usage counts
Cookies
We use only the cookies needed to keep you signed in. There are no advertising cookies, and usage counts do not use cookies or browser storage.
Sign-in codes and invitations are sent when you request them. School notification emails are off until the school turns them on, and then each person chooses whether to receive them.
Security
Data is encrypted in transit and at rest. Each school's records are kept separate by database access rules, and staff access follows the roles the school assigns. If a breach affects a school's records, we will tell the school's owner without undue delay.
Keeping and deleting data
We keep a school's records while its workspace is open. When an owner asks us to close the workspace, we delete its records within 30 days, and they leave our backups within a further 30 days. We keep billing records as long as tax law requires.
Changes
